Master Key System Design

The office key ring has become the org chart. Every manager carries a fistful of cuts, a couple of staff hold copies nobody remembers issuing, and when someone asks which key opens the records room, three different people give three different answers.

Many commercial properties end up with keys copied from other keys over years of staff changes, until nobody can say with confidence what a given key actually opens. Master key system design starts from the opposite direction: an approved list of roles and openings comes first, and the keying follows it. Doors that genuinely need to share access are grouped under a sub-master; doors that do not stay on their own key. Once the hierarchy is agreed, the cylinders are pinned to match it, tested lock by lock, and handed over with a plain record so the business always knows which key belongs where.

    Who holds the top-level master

    A single top-level master, if the property has one at all, is deliberately kept to the shortest list the business can operate with. The check here is a direct conversation about who genuinely needs to open every door on the property versus who only thinks they might one day, since every extra holder is another way a full-access key can go missing. This conversation happens before cutting begins, because narrowing the list afterward means recovering and replacing keys that have already been issued to people no longer on it.

    If a key goes missing later, the chart tells the business precisely which doors that level can reach, rather than leaving anyone guessing whether the whole property needs attention. That scope can then be compared against how the key was likely lost and who else already holds that same level, so the response, whether rekeying one group, one door, or leaving it recorded and monitored, is a decision made with real information.

A simple chart listing levels and holders is the baseline. Some businesses want a more detailed record, cross-referenced by department, room number or staff role, which takes additional time to prepare and is quoted as part of the documentation work.
Testing scope before handover
Testing every cylinder individually and then testing each master and sub-master across its full group takes time proportional to how many doors and levels exist. A larger hierarchy with more levels to verify against more doors adds to that testing time.
Number of keys cut and marked
Each key cut and marked for a holder is counted individually in the quote, whether it is a change key for one door or a top-level master for an owner. More staff at the same level naturally means more keys cut than a business with only a handful of holders.

Should I keep spare blanks or unpinned cylinders on hand?

It depends on how the keyway is controlled. With a restricted system, spare blanks are typically held by the locksmith against the authorized record rather than stored loosely on site, since that is what keeps duplication contained. With a standard keyway, keeping a few spare cylinders of the same platform can simplify a later addition, though it is not required.

Can cleaners or contractors get limited access without a master key?

Yes. A change key or a narrow sub-master covering only the areas they service is the usual approach, rather than handing over a level that reaches further than the job requires. Where the property uses keypad or card access alongside mechanical keys, a time-limited or role-specific electronic credential can serve the same purpose without a physical key changing hands at all.

Can different lock brands be mixed in one master key system?

Sometimes, but it depends on the keyway and pinning platform each brand uses; some are compatible with one another and some are not. Where a mix already exists on a property, the assessment identifies which cylinders can be brought into a single hierarchy and which need replacing with a matching platform so every level pins correctly across the whole set of doors.
